TECHNOLOGY SHOWCASE GUIDELINES
Each grantee will be assigned a poster board for each active award they are representing at this event. In addition to your poster, grantees are encouraged to bring a prototype or demonstration to display during the evening Technology Showcase receptions. Being able to showcase your demo or prototype will depend on the constraints of the space available and other environmental, health and safety considerations. Please read this page in detail. Complimentary Wi-Fi and electrical power will be available throughout the exhibit hall. One power strip will be shared between four posters. Thus, if your demonstration requires more than one outlet drawing an unusual amount of power, please contact [email protected] to inquire about renting additional power service to your poster board.
Space Available for Your Poster & Demonstration/Prototype
The poster board provided at this year’s event will have a metal frame with an insert on which posters must be hung using Velcro. Velcro will be provided onsite. The exact dimensions of the vertical boards – inside the frame – are 37 ½ inches wide x 86 ¼ inches tall.
We recommend that posters be no more than 36 inches wide and 84 inches tall. However, if you elect to rent a table in front of your poster board (see below), you should limit your poster to maximum 42 inches tall so that the table does not block any content.
Note: There will be two feet of space between each poster board, so please be sure your demonstration or equipment does not exceed the allotted table or space in front of the poster board or interfere with the aisles, to meet fire code regulations. Tables will not be automatically provided in front of each Phase II poster board this year, as many companies did not utilize their table last year.
The online advance rental period deadline has passed. Standard tables are available for rental, on-site for $209.00. Each standard stable is 3’ tall x 42” wide.
Please note: Grantees must bring or ship their poster and prototype to the conference hotel directly. Grantees are responsible for all costs and liability associated with shipping and receiving posters and equipment.
Shipping Information to Hotel
The Atlanta Marriott Marquis requires that all guests shipping packages to the hotel use their in-house FedEx office. If you choose to ship your poster and/or any equipment to the hotel, note that a handling fee ($5-15) will be charged to your guest room. Packages shipped to the hotel can only be retrieved by the individual guest from the FedEx office during their open hours. For this reason, most attendees bring their poster in a tube as carry-on luggage on their flights.
If you do elect to ship anything to the hotel, plan to send at least five (5) days prior to the conference and label as follows:
